This policy explains what personal data Micro BI collects, why, and how you can control it. It applies to this website (microbi.app) and to the license activation service used by self-hosted Micro BI installations. It does not apply to the data you store or process inside your own self-hosted Micro BI installation — see "Your own data" below.
Who we are
Micro BI is currently developed and operated by Grzegorz Pachota, an individual based in Poland. Micro BI is not yet registered as a company; this policy will be updated with company details if and when that changes. For any question about your data, contact [email protected].
What we collect

We do not collect payment information at this stage (the beta is free). When paid plans launch, payment will be handled by a third-party payment processor, and this policy will be updated accordingly.
Your own data
Micro BI is self-hosted: when you deploy it, it runs entirely on your own server. Any business data you upload, connect, or generate inside your Micro BI installation (spreadsheets, reports, dashboards, your own users' accounts, etc.) stays on your infrastructure. We have no access to it, no copy of it, and no ability to see it. You are the data controller for that data, not us.
Who else processes your data
We use a small number of service providers to run this website and our infrastructure. Each acts as a data processor on our behalf:
- Web3Forms — relays beta signup form submissions to our email inbox; does not retain your email long-term.
- Zoho Mail (EU data center) — hosts our email inbox ([email protected]).
- Cloudflare — hosts this website, provides DNS, and routes traffic to our license activation server via a secure tunnel. Cloudflare may process data outside the EU under standard contractual clauses.
- Our own server infrastructure (located in Poland, self-managed) — stores license activation records.
Legal basis for processing
We process your email for the beta waitlist based on your consent (submitting the form). We process license activation data based on the performance of a contract (providing you with a working license for the software you've chosen to use).
How long we keep it
Beta waitlist emails are kept until the beta program concludes or until you ask us to delete them, whichever comes first. License activation records are kept for the duration of your license plus a reasonable period afterward for support purposes, unless you request earlier deletion.
Your rights
Under GDPR, you have the right to access, correct, delete, restrict, or export the personal data we hold about you, and to object to its processing. To exercise any of these rights, email [email protected]. You also have the right to lodge a complaint with your local data protection authority — in Poland, this is the Urząd Ochrony Danych Osobowych (UODO).

Changes to this policy
We may update this policy as the product evolves — particularly once paid plans and a registered business entity are in place. We'll update the date at the top of this page when we do.
